1) How we store your information
Your information will either be stored on our website, in a restricted secure server environment or on cloud based software that we have verified as suitable and which meets our strict security requirements. Only individuals that need to, will be allowed to access your data and this access is limited to the requirements of the individual’s task. We ensure that all individuals, volunteers and staff members of any third party have been trained to understand their requirements in keeping your data safe. Any hard copy paper records which may be sent to the organisation, such as application forms, are stored in a secure environment and where relevant transferred into electronic format.
2) Our marketing
Your name, email address, role title and organisation have been collected from the internet’s public domain. This is the only information we will use to inform you, by email, of the services we provide to healthcare organisations. We deem this to be a legitimate and likeminded interest that could be of use to your organisation, if not now, but in the future. It will never be shared with any external 3rd party organisations and we will only retain your information for the duration of your tenure. We also monitor whether our electronic communications are received and opened. You have the ability to opt-in or opt-out and can change your preferences at any time by emailing [email protected].
3) Our website
You do not need to give us any information about yourself to view the EBS website. When you access the website, our webserver logs your Internet Protocol (IP) address (a unique set of numbers that identifies one or more devices on a computer network), browser identifier and the time of access.
We also use your IP address to analyse the number of people who are accessing our website at any one time and the types of device being used as well as the website user behaviour patterns. This information helps us to make improvements to our website and services. Unless you provide other information about yourself, we will not be able to identify you. However, we would not normally use IP addresses to identify individuals except if this is deemed to be necessary to investigate problems or potential misuse of the system.
If you use our ‘Send a Message’ form, by doing so you will need to provide your name and email address ONLY which will be stored on a secure database.
4) How long we keep your information for
We will only keep your data for as long as it is necessary. When you withdraw your consent by opting out, you will not be contacted by us again but we will retain your name and organisation on our database to ensure that re-contact does not happen. If you ask for your data to be removed it will be destroyed as soon as possible within one month. If we decide not to destroy your data we will inform you as to why we have made this decision.
